A new approach to Scheduling for St. Mary Church |

The Pastoral Team and Parish Staff have decided to try a new approach to scheduling events and rooms for the parish. Recent experience has included time-consuming checks, double checks and triple checks, so we think it will be more efficient and successful if we revise our method. This is the plan.
Everyone will submit scheduling requests for the time period August 1, 2008 through July 31, 2009 between now and May 2, electronically to Vicki Maher, vmaher@stmaryhudson.cc (cc Jane Sabol, jsabol@stmaryhudson.cc) and on the forms attached to this document. Vicki will schedule the requests and inform all who submitted plans of their schedules by June 2. Additional requests submitted during the year will be honored as space allows.
For Events (on and off the property), Meetings, etc. and Room Usage · As many regular and occasional events as an organization or office can foresee should be submitted now. · Priority in scheduling will be given to liturgy, PSR, LIFE TEEN, Christ Renews His Parish, Trees and Treasures and other core and repeating programs. · Every effort will be made to resolve all conflicts and assure that all groups have space for their events. NOTES: ü It will be possible to add events to the schedule during the year, but as much as possible should be submitted at this time. ü It is not possible to reserve space “in case” a program or group might want to use it; actual programs, events, classes, receptions, etc. can be scheduled. ü IF/WHEN an organization or office cancels or makes changes to an event or room, they must notify Vicki immediately, as these cancellations/changes affect many levels of parish scheduling. For Inserts in the Bulletin · Inserts will normally be one-sided. A two-sided insert must be specifically requested. · Once scheduled, inserts will be submitted electronically and as Word or Publisher files to Polly Wise, pwise@stmaryhudson.cc CChe Click here for a Bulletin Insert Request Form.
For LCD Monitors in White and Brown Narthexes · Slides may run for two weeks · Once it is scheduled, a PowerPoint slide should be sent to Polly Wise (pwise@stmaryhudson.cc). · If a group is unable to prepare a slide in PowerPoint, they may provide the information in Word or Publisher format and Polly will create the slide. Our wonderfully active parish puts every space on the property to good use, and sometimes events overlap. In light of the 150th Anniversary and the additional events it will occasion, we ask you to join us in trying this method of scheduling so that there will be less frustration and more smiles throughout the year.
